By accessing or using this website (www.optimiseaccountants.co.uk), booking a consultation call, or purchasing our services, you agree to be bound by these Terms and Conditions (“Terms”). Please read them carefully before using our services.

1. Scope of Services

Optimise Accountants provides specialist UK property tax compliance, corporate accounting, tax advisory, and cross-border UK/US tax guidance.

  • Information on Website: Content, blog posts, calculators, and materials published on this website are provided for general information and educational purposes only. They do not constitute formal tax, legal, or financial advice.
  • Tax Compliance vs. Financial Advice: Our services focus on tax compliance, statutory reporting, and tax planning within statutory UK and applicable international tax law. We do not provide regulated investment, mortgage, pension, or financial advice under the Financial Services and Markets Act 2000 (FSMA).

2. Engagement and Client Onboarding

A formal professional-client relationship is established only after:

  • You have completed our client onboarding process (including Anti-Money Laundering checks).
  • You have signed a specific Letter of Engagement detailing the exact scope, terms, and fees for the services requested.

Where these Website Terms and Conditions conflict with the specific terms outlined in an executed Letter of Engagement, the Letter of Engagement shall take precedence.

3. Consultation Calls and Advisory Services

When you book a consultation call or purchase an advisory package:

  • Payment: All initial consultation fees must be paid in full at the time of booking.
  • Submissions: You are responsible for ensuring that all information, documents, and questions uploaded prior to the call are accurate, complete, and up to date.
  • Rescheduling & Cancellations: Requests to reschedule or cancel a consultation must be made at least 24–48 hours prior to the scheduled meeting time. Cancellations made with short notice or missed appointments without prior notification may result in a forfeiture of the call fee.
  • Deliverables: Follow-up tax summaries, reports, or meeting recordings provided following a consultation call are intended solely for the use of the named client and must not be shared with third parties without our prior written consent.

4. Fees, Billing, and Subscriptions

  • Fixed Fee Structure: Recurring accounting or compliance services (e.g., annual accounts, Self Assessment, monthly retainer packages) are billed on a fixed-fee basis as agreed in your Letter of Engagement.
  • Scope Changes: Additional work requested outside the agreed fixed scope (e.g., unexpected HMRC enquiries, complex restructures not disclosed initially) will be quoted separately before work commences.
  • Payment Terms: Invoices are payable in accordance with the payment terms set out on each invoice or engagement agreement. We reserve the right to suspend work or terminate services if invoices remain unpaid past their due date.

5. Client Obligations and Accuracy of Information

To enable us to carry out compliance work and meet HMRC/Companies House deadlines:

  • You agree to provide full, accurate, and timely information regarding your income, expenses, corporate activities, property transactions, and residency status.
  • You acknowledge that ultimate responsibility for the accuracy and completeness of Tax Returns and Statutory Accounts submitted to tax authorities rests with you (or your company’s directors).
  • Optimise Accountants accepts no liability for interest, penalties, or statutory fines arising from inaccurate or delayed information provided by you.

6. Anti-Money Laundering (AML) Compliance

As a UK accountancy practice, Optimise Accountants is legally required under the UK Money Laundering Regulations to verify the identity of our clients.

  • You agree to provide proof of identity, proof of address, source of funds verification, and any other compliance documentation requested during onboarding or during the ongoing business relationship.
  • We reserve the right to decline or terminate engagements if AML identification requirements are not met.
